Email migration can affect daily operations even when the website itself works normally. A new inbox may receive new messages while old conversations remain at the previous provider. Treat the move as a small project with an inventory, a transfer method and a verification plan. Always follow the specific instructions of the providers involved.
List what exists today
Record paid mailboxes, aliases, forwarding addresses, shared addresses and devices that connect to each account. Identify website forms or applications that send through the old service. Ask users whether they depend on calendars, contacts or shared folders; a message-copying method may not move those items. Confirm who controls domain DNS and both provider accounts.
Compare the full destination requirement
Check storage needs and the number of actual paid accounts. An alias may be sufficient for an extra address, but it is not automatically a separate inbox with its own access. Verify provider rules rather than assuming all addresses need a licence or all aliases are free. Include temporary overlap and migration assistance in the budget if needed.
Preserve data before the switch
Use a supported export or migration process and confirm what it includes. Test on a noncritical account where possible. Do not delete the old mailboxes just because the destination account has been created. Keep a way to inspect the original messages until the transfer has been checked. Handle mailbox exports as private data.
Make the DNS change deliberately
Use the destination provider's current mail routing and authentication instructions. Preserve unrelated website records. Record the previous working configuration and plan the cutover when support is available. During the transition, check both old and new services for messages rather than assuming every sender changes route at the same instant.
Test real communication paths
Send a message to the new mailbox from an external service, reply to it and confirm the reply arrives. Test aliases and forwarding separately. Check website form delivery and every device the owner uses. Inspect whether older messages, contacts and folders are available as expected. A successful sign-in is only one part of the test.
Finish the handover
Update saved settings, recovery methods and documentation. Remove temporary access granted for migration. Cancel the old service only after data and delivery are verified and the planned overlap is complete. Save renewal dates and ongoing mailbox costs in your renewal register so a migration does not leave two subscriptions running indefinitely.
